Exhibiting at the SAME Indo-Pacific Regional Summit is a prime opportunity to connect with leaders from government, industry, and key organizations driving engineering and technology projects in the region. With dedicated networking events and access to decision-makers, exhibiting puts your business at the heart of impactful collaborations.
The standard booth size is 10-ft X 10-ft and includes:
- (2) Full-Conference Registration (additional booth personnel pay registration fee)
- 8-ft- high draped back wall, 3-ft- high draped side walls, and company ID sign
- 6-ft draped table, two chairs, and a trashcan
- Standard Carpet
- Daily vacuuming
- Company listing on the event website and in the conference app
- Company listing in the printed program (booths purchased after July 15, 2025 may not be listed due to press deadlines)
- One-time use of the pre-registered attendee list for the sole purpose of promoting exhibitor's participation in the event
- Exhibit pricing is based on a 10' x 10' space. Anything over 20' x 20' is considered a display space and must be negotiated separately.
- Electricity, AV, carpet padding, upgraded furniture, etc. must be ordered separately. Shipping and material handling are also at the exhibitor's expense.

Booth Staff
Each 10' x 10' booth includes (2) full conference registrations; additional registrations are available for an additional fee. All individuals participating as booth staff must be registered through the individual booth staff registration form.
Government Booths
SAME is pleased to offer complimentary booths to the uniformed services and government agencies. Other costs associated with exhibiting such as material handling, electricity, or other additional services are not included and all such costs are the responsibility of the exhibiting agency.
Exhibit Booth Payment Policy
A 50% deposit of booth fees is required at the time of booth selection. Booth sales are not final until payment is received in full. 100% of sponsorship fees are due at the time of sponsorship selection. Payment by credit card can be submitted during the space selection process; payment by check must be received within 30 days of the initial booth space selection. Payment in full is due June 13, 2025, or 30 days after booth selection if purchasing a booth after June 13, 2025. SAME reserves the right to cancel booths that have not been paid within 30 days of initial booth space selection.
Exhibit Booth Cancellation Policy

A full refund of all payments, less a $200 administrative fee will be granted if written notice is received by SAME no later than June 13, 2025.

A 50% refund of total exhibit fees less a $200 administrative fee will be granted if written notice is received by SAME between June 13 and July 14 , 2025.

Commencing July 14, 2025, no refund will be granted.

Early Booth Breakdown Policy
Any Exhibitor that fails to occupy its assigned exhibit space by the end of published set-up hours, leaves its exhibit space unattended during Event hours, begins packing boxes or dismantling of exhibit space prior to the close of the Event by SAME, may forfeit its right to the exhibit space and its eligibility to exhibit at future SAME events. Failure to occupy exhibit space does not relieve the Exhibitor from their obligation to pay the full booth rental fees. Furthermore, exhibitors that break down or pack up before the close of the Event is officially announced will be charged $550 in damages, which will be added to the company’s account, and be removed from all 2026 Booth Lottery Processes.
