SAME recognizes the company business sizes based on the following employee count:

Young Professionals are those aged 39 and younger; membership and birth date required to qualify for YP rates. YP status must be designated in the member record.

**Please Note: All individuals onsite at the Indo-Pacific RegionSummit must be eighteen (18) years of age or older. There are no exceptions to this policy.**

What Your Registration Includes:
Full Conference Registration: All General and Education Sessions, Tuesday Evening Ice Breaker Reception, Tuesday Evening Networking Reception, access to Exhibit Hall during show hours with Networking Lunch on Tuesday & Wednesday.

Exhibit Hall Only Registration: Exhibit Hall access (including set-up and tear-down), Tuesday Evening Ice Breaker Reception, Meals in the Exhibit Hall, Networking Reception in Exhibit Hall on Tuesday. Please note: This registration type is available to exhibiting companies ONLY.

Please Note: Full Conference registrations are also available on the Exhibitor and Speaker Registration Forms. Booth Staff registrations will receive access to exhibit hall during set-up/tear-down/show hours.

Payment Methods

Registrations can be paid by credit card, by ACH, or by check and must be paid in full within 10 business days of registration. Details for payment are available on the registration Invoice. All balances due must be paid prior to the start of the conference to receive badge and conference materials.  Payment by check will not be available after August 22, 2025, to allow for mailing and processing time. *Check payments must be received and processed by Friday, September 5, 2025.*   

Cancelation and Refund Policy

Cancelations will be accepted through August 8, 2025, and must be received in writing, to registration@same.org. Registration fees will be refunded in full minus a handling and processing charge of $100.00 for individual registration. If your registration fee is $0.00, you will not be charged a cancelation fee if you cancel. SAME regrets that refunds cannot be issued after August 8, 2025, or for no-shows, except for Government attendees. You may also transfer your registration to a colleague if circumstances prevent you from attending the conference; instructions are below.

The cancelation fee and deadline do not apply to government registrations. Government registrations will receive full refunds at any time. 

Registration Transfer

To transfer your registration to someone else in your company, please have the substitute register for the Indo-Pacific Region Summit. When they get to the Payment page, click the down arrow for the “Payment Method” and select “send invoice” from the menu. They should complete the Registration, but do not pay. Then, send an email to registration@same.org when this is completed to request the transfer. Your original registration will be cancelled and the fee paid will be transferred to the substitute’s registration. *If the substitute’s fee is different (member vs non-member, difference in registration fee category, etc.) the difference will be charged.* Requests for a registration transfer must be received by 12:00 pm Eastern Time (EDT) on Friday, August 1, 2025.  After this date/time, the substitute will need to visit the Help Desk onsite to complete a registration transfer.
