The IPRS Volunteer Sign Ups are now Open! Please read the information below and then click on the link at the bottom of the page.Join us as a volunteer and receive a FREE registration! If your organization can't support your attendance financially, volunteering is an excellent option. Opportunities range from registration assistance to education session monitoring, offering great networking possibilities. Please review all requirements before committing.
Here's how it works:
- You MUST be an SAME member to Volunteer for IPRS!
- Don't register for the conference until after receiving confirmation from the SAME National Office.
- Complete 8 hours of volunteer time for a FREE registration. No partial discounts available.
- All roles require extended standing periods.
- Select opportunities that match your schedule and capabilities. Your sign up represents a firm commitment.
- You'll receive a follow-up email with a 75% discount code. Pay 25% at registration, which will be refunded post-conference after completing hours.
- Register within five business days of confirmation.
- Incomplete volunteer hours result in full registration fee payment.
- Ensure your volunteer schedule doesn't conflict with desired sessions or other commitments.
POSITION DESCRIPTIONS
- Badge Pickup: Assist with badge printing and materials distribution. Keep stations stocked and tidy.
- Exhibit Hall Badge Checker: During exhibitor move-in and times when the hall is open only to booth personnel, help provide the correct credentials if needed.
- Help Desk: Provide support, manage supplies and ribbon wall.
- Human Arrow: Direct participants to where they need to go. Direct traffic.
- Ice Breaker Support: Take tickets, support entertainment, other assistance as needed.
- Lei Management & Distribution: Place lei order, pick them up, deliver to speaker ready room. Help with distribution to session rooms.
- Onsite Registration: Help individuals registering on-site. Other assistance as needed.
- Photographer: Using your own camera, take photos and upload to shared folder within 24 hours.
- Registration Volunteer Captain: Train registration volunteers/fill in for no-shows, help SAME registration staff where needed. Be liaison between satellite stations and SAME Registration Manager. This position is by invitation.
- Sessions Monitor: Handle badge scanning, microphones, room counts, and speaker water.
- Session Monitor Captain: Train session monitors, set-up badge scanners, collect room counts and ensure receipt, and fill-in for no-shows. This position is by invitation.
- Volunteer Lounge Captain: Check-in volunteers for shifts, provide reminders of responsibilities, help with emergency or ad-hoc needs. This position is by invitation.
- GOLF TOURNAMENT volunteer support (Thursday, Sept. 11):
- Set-up: Prepare for the tournament at the golf course
- Check-in: Greet and check-in golfers as they arrive at the course
- Photographer: Using your own camera, take photos of the event and golfing foursomes.
- Pass & ID Assistance: Help those arriving to the base for the tournament, if needed
- Scoring & Prizes: At end of play, review scorecards and determine winners
IPRS VOLUNTEER ORIENTATION
SAME will host a Volunteer Orientation webinar one or two weeks before the event. All volunteers must attend live or watch the recording and confirm completion.EXPECTATIONS OF VOLUNTEERS
- You commit to fulfilling your role with approval to attend IPRS as a volunteer. Follow the SAME Code of Conduct.
- As SAME's representative, be punctual, prepared, and enthusiastic.
- Manage your schedule to avoid conflicts.
- Notify SAME immediately if unable to volunteer.
- Cover your own travel and lodging expenses.
- Complete pre-conference virtual training.
- Arrive at Volunteer lounge 15 minutes before shift, collect shirt, and remain on duty until shift ends.
- Non-fulfillment of duties while attending will result in registration charges. Late arrivals may affect future volunteer opportunities.
